[H4] Can I customise AP automation software to accommodate my specific business rules?

Yes, this is our speciality.
Most of our customers are large global enterprises with many offices in many countries, using different AP systems and processes.
As a result, we do many customisation and unique implementations for customers, both at onboarding and ongoing.
Tradeshift’s platform is designed to be highly extensible, allowing for customisation to meet specific business needs.
Configure business rules, integrate with external services like tax validation, and customize approval processes – all with ease. You can even customise the handling of unplanned costs, using machine learning to automate coding based on predefined thresholds
Tradeshift workflows also have several extensibility points to directly integrate the workflow with customer services or other customer integrations to make the workflows more customized
Additionally, data accuracy can be significantly improved by implementing business firewall rules to ensure that suppliers adhere to your business processes.

[H4] Give me more detail on the customisations and customer-specific configurations you can do

Many validations are built-in and standard such as invoice duplicate number detection, invoice recipient selection, invoice date, payment date, currency validation, etc.
However, a key differentiator that Tradeshift offers is the Business Firewall.
It provides validation on your all documents (e.g. invoices) before they even arrive in your Tradeshift account. This ensures that potential errors and omissions are caught before an invoice is presented for early payment.
This ensures the quality of incoming data. Typically the rules are buyer business entity and/or supplier group specific although default rules can be applied to all suppliers. These rules are defined by the receiving organization and only applied on inbound documents.
The Business Firewall contains user-defined rules to validate incoming documents. They are rules that define what is required on the different document types (invoices, credit notes etc.) in order .
There are two types of validation against rules, static validation and dynamic validation.
Static Validation — Static validation allows user to choose what fields in the document are required, optional or not allowed. Regular expressions can be used to enforce a specific format or static values of these fields. For example, purchase order number on an invoice must start with the letters PO and be 8 digits long in total. Another rule could be that VAT number is required on all invoices from suppliers in countries X, Y, and Z.
Static validation can be branch, document type and supplier specific. Static validation does not require an interface between customer IT and Tradeshift as they are configured and maintained in Tradeshift product by Tradeshift staff.
Dynamic validation allows users to validate the contents of selected fields. Users define what fields are to be validated and provide the values that the field contents are validated against. Typically the rules are only used to validate contents of fields that allow workflow/ERP to achieve higher levels of automation. For example, location IDs provided on an invoice must match a list of valid IDs provided by the buyer organization. Dynamic validation can be branch specific.
The Business Firewall is kept on every branch instead of the master branch. There is a function to copy a new set-up to all branches.

[H4] Can AP automation software integrate with my ERP and accounting systems?

Yes.
Tradeshift’s AP automation solution integrates seamlessly with any existing ERP and financial system.
Tradeshift offers various methods to integrate your systems directly, including a simple and fast-to-implement REST-based API that allows for the exchange of business documents and access to a wide range of functionalities.
We have built standard connectors for common ERP systems such as SAP ECC 6.0, SAP S4/HANA, Oracle eBusiness Suite, and Oracle Fusion.
However, the power of Tradeshift is in the flexibility of our middleware. Tradeshift can take any input, transform, and pass to any output!
Many of our customers have implemented subtle changes to their data model, and need some level of customisation.
Tradeshift supports this through a simple mapping UX.

[H4] How easy is it to set up and configure Tradeshift’s AP automation software?

Setting up and configuring Tradeshift’s AP automation solution is designed to be a straightforward process, supported by a modern and intuitive user interface.
Our team works closely with your organisation to ensure a smooth transition. We start by setting up your account on the Tradeshift network and configuring it with data validation rules to avoid invoice exceptions.
We also build a custom pathway that fits into your existing AP workflow, allowing for minimal disruption to your operations.
Additionally, we assist in connecting and onboarding your suppliers to the Tradeshift network, ensuring that they are ready to send invoices digitally. Our First Invoice Onboarding capabilities enable suppliers to begin the onboarding process simply by sending a PDF invoice to a dedicated email address we set up for you.
Our dedicated supplier onboarding team manages the entire process and is on hand to help suppliers with specific questions. We also have a highly skilled technical team ready to support suppliers with more complex integration needs.
Once set up, you’ll have access to Tradeshift University for training and development, as well as 365-day support to address any issues that may arise.

[H4] How does Tradeshift’s AP automation solution capture invoices from OCR platforms?

ScanIO enables you to receive business documents (e.g., invoices, and credit notes) from suppliers via multiple buyer-endorsed sources, such as Scanning Partners and value-added networks (VANs).
The app accepts TS:UBL files. Conversion from other formats to TS:UBL happens either through Babelway, Tradeshift’s integration middleware, or other interoperability partners.
The app validates incoming documents for technical correctness and allows for manual correction of errors through its interface.

[H4] What implementation services do you offer?

Extensive services are offered, including:
1 – Project Advisory – Ensuring that the Customer has confidence in the fact that the project has the necessary executive support & leadership
2 – Project Management – Providing the Customer a project manager to lead the project implementation successfully from Kick-Off to Go-Live.
3 – Compliance – Supporting the Customer with guidance and advice in compliance matters associated with VAT and e-Invoicing.
4 – Configuration – Setting up the Customer account on Tradeshift and ensuring that the relevant business processes are implemented.
5 – Integration – Assisting the Customer’s technical team integrating their backend systems with the Tradeshift platform.
6 – Quality Assurance and Testing Support – Supporting the Customer in testing activities, specifically in regards to User Acceptance Test (UAT).
7 – Training – Training the Customer’s users and partners on the Tradeshift Solution in order to optimize usage as well as making the Customer self-sufficient long-term.
8 – Change Management – Helping the Customer navigate through the change process upon the implementation of Tradeshift and the change to the business processes.
9 – Supplier Onboarding – Onboarding the most important suppliers and assisting the Customer to gain the ability to run onboarding without support.

[H4] Do you provide document archiving?

Tradeshift, in combination with its partners, offers compliance with all local regulatory requirements, including archiving.
The Tradeshift platform conforms to the assurances outlined in the International Standard report on Assurance Engagements 3402 which includes controls and procedures for data storage and archiving.
We also have the technical capability to integrate to a digital archiving system by leveraging the combination of open APIs and our own middleware application (Tradeshift Link).

As you would expect, we take this very seriously.

Currently road mapped languages include Turkish, Arabic. Other languages can be added to the platform if required.

[H4] Argentina

Document Storage Requirement: 10 years
Argentina’s Federal Administration of Public Taxes(AFIP) completed implementing clearance requirements in 2019 after the initial introduction in 2015. In 2021 AFIP introduced the requirement to include QR Codes on digital invoices. The clearance requirement is for suppliers to register all invoices with AFIP before sending them to customers. Invoices are provided a unique CAE(Electronic Authorisation Code) and a QR Code. There are penalties for late filings or mis-declarations which puts a responsibility on the invoice receiver to validate the invoice using the CAE Code with AFIP.

Australia has post audit invoicing requirements. The requirements are published on the government website. E-invoicing is currently voluntary however the Australian Tax Authority advocates for it and is considering introducing the ability for businesses to mandate e-invoicing via Peppol. Tradeshift is a certified Peppol Access Point in Australia.
By July 1, 2025, all businesses will be required to adopt e-Invoicing upon request. Businesses using Tradeshift in Australia are fully compliant with the country’s e-invoicing mandate.
[H4] Austria

Document Storage Requirement: 7 years
Austria has mandatory e-invoicing for Business to Government(B2G) transactions via Peppol. For Business to Business transactions there are post audit requirements for what must be included in invoices. Requirements vary depending on the value of the transaction. Invoices under 400 Euros can be issued in a simplified format.
[H4] Bahrain

Bahrain has post audit invoice requirements at present. Bahrain has begun public consultation to discuss introducing clearance controls. The tender for a software provider to support the public invoicing platform ended in May 2023. As of August 2023 no further announcements have been made regarding what the controls to be implemented will require.
[H4] Belgium

Document Storage Requirement: 7 years
Belgium has post audit invoice requirements at present. Belgium’s Ministry of Finance is attempting to pass tax reforms at present to introduce clearance requirements. The initial proposal indicated a launch date of July 2024 however this was postponed until January 1st 2026. The primary format supported is Peppol BIS 3.0, aligning with the European standard EN 16931. Tradeshift is registered as a certified Peppol Access Point in Belgium, which will make business using Tradeshift fully compliant with the mandated requirements. Belgium is part of Tradeshift’s compliance product roadmap, and we will deliver a solution fully aligned with the Belgian e-invoicing clearance mandate.
[H4] Brazil

Brazil introduced clearance in 2005. The requirements are complex in so far as there are 6 different invoice structures and issuance requirements vary across over 5000 local taxation jurisdictions for services. Plans to align requirements are in progress.
There are also requirements to provide a DANFE document with invoices where there is movement of goods.
NFCom: New mandatory tax requirement in Brazil starting April 1st 2025. Tradeshift is available in 26 languages, including Brasilian Portuguese, to ensure a seamless and localized user experience.
[H4] Bulgaria

Bulgaria has post audit invoice requirements. Public consultation on introducing clearance controls began in 2021 and the Bulgarian National Revenue Agency began rolling out SAF-T digital reporting requirements in 2022. Tradeshift is available in 26 languages, including Bulgarian, to ensure a seamless and localized user experience.

Canada has post audit invoice content requirements. There are multiple provincial tax rates in Canada that need to be selected where applicable. Canada has introduced a standard UBL format that can be used on a voluntary basis.

In 2001, Chile’s Servicio de Impuestos (SII) tax authority launched its electronic invoice regime, DTE (Documentos Tributarios Electrónicos). SII assigns unique codes to e-invoices and receivers have 8 days to provide electronic approval. DTE provides pre-filled VAT returns.
[H4] China

China’s State Taxation Administration (‘STA’) introduced the special e-fapiao e-invoice system in 2020 and has been expanding the mandate regionally with the most recent expansion in January 2023. The mandate applies to businesses with a turnover above RMB 5 million per annum. Invoices contain a digital signature and QR Code. Tradeshift is the only company offering cross-zone fapiao e-invoicing capabilities in China, and our platform is available in 26 languages, including Chinese simplified and Chinese traditional, to ensure a seamless and localized user experience.
[H4] Colombia

Clearance was introduced in 2019 by Colombia’s National Directorate of Taxes and Customs(DIAN) and came into effect in 2020. DIAN validates content and provides certifications, if a receiver cannot receive the digital format a QR Code invoice is to be provided.
[H4] Costa Rica

Document Storage Requirement: 5 years
Costa Rica’s General Directorate of Taxes (DGT) introduced clearance in 2018 for some tax payers. Mandated suppliers must submit invoices using the Administración Tributaria Virtual (ATV). In case of a rejection the supplier must issue a credit note to reissue a corrected invoice. The buyer receives the invoice and has 8 days to decline the invoice or issue an acknowledgment of receipt.
Mandatory use of version 4.4 in electronic documents starting June 1st 2025.
[H4] Croatia

There are currently post audit requirements in Croatia but there are changes planned. Croatia’s Ministry of Finance has confirmed their plans to introduce clearance for 1 January 2025 under the tax Projekt Fiskalizacija 2.0. Mandatory B2G e-invoicing has been in place since 2019.

The Egyptian Tax Authority (ETA) has been phasing in mandatory e-invoicing since 2021 and this is due to complete in April 2023. E-invoice must contain an eSeal certificate which is provided by one of the certified e-invoice providers which requires specialist hardware to provide. A UUID code is provided which is then provided on the invoice.
[H4] Estonia

France e-Invoicing Compliance: Currently France has post-audit content requirements, and the French authorities are introducing a Continuous Transaction Control (CTC) clearance model. On October 15, 2024, the Direction Générale des Finances Publiques (DGFiP) announced that only registered PDPs (Plateforme de Dématérialisation Partenaire) will be authorized as compliance platforms for clearing e-invoices in France. Tradeshift was among the first to receive PDP-registered status on August 19, 2024. The CTC requirements will take effect for large and mid-sized companies by September 2026, following a phased implementation that includes a pilot program, as announced by the FNFE and DGFiP. Tradeshift will pilot its solution with its long-standing customer, Air France. The latest update on the France B2B e-invoicing mandate is available here.
